A handover report checklist for completed work and open items

A good handover makes the next person's job easier. It explains what was covered, what changed and what still needs attention, without forcing the recipient to reconstruct the visit from a folder of unrelated photos.

Define what is being handed over

Identify the customer, location, equipment and date, then describe the scope of the work or visit. Keep the wording aligned with what actually happened. A service visit to one component should not sound like a comprehensive assessment of an entire installation.

Use a clear document reference in the handover conversation. If there was an earlier finding or visit, refer to it so the recipient can follow the sequence. Include the names or roles of the relevant contacts where appropriate for the work.

Separate completed work from unresolved points

List completed actions and connect them to the relevant findings or photos. Describe any checks actually performed and their results. Do not use a polished document layout as a substitute for clear evidence of what was done.

Give unresolved items their own visible description. Explain what remains, why it remains open when known, and who is expected to take the next step. Add an agreed target date; where no date or responsible person has been agreed, make that clear instead of silently filling the gap.

Choose a small set of useful images

Include an equipment overview, the relevant findings and any after-work images needed to explain the result. Label a before-and-after pair clearly. The recipient should be able to connect each photo to an item in the text.

Check that the images do not disclose unrelated customer information, documents or people. Look beyond the centre of the frame: a whiteboard, label or screen in the background may contain information that does not belong in the handover.

Review together before final export

Use the preview to check the names, date, scope, actions and the sequence of the images. If signatures are part of the agreed process, clarify what is being acknowledged before signing. A signature drawn on a screen alone does not explain the scope of the agreement.

After export, choose the intended recipient and send the reviewed version. Keep it connected to the equipment history so the next visit starts with the same written record. A TechSnap handover report is technical documentation; it does not replace a required statutory inspection or a prescribed certification process.

Before you finish

  • The scope and equipment are clear.
  • Completed work and unresolved items are listed separately.
  • Photos support the text and have been checked for unrelated information.
  • The recipient, final version and any signature purpose are clear.
