Protecting customer information in technical photos and PDF reports
A technical photograph can capture more than the equipment. Names, documents, screens and access information may appear in the background. Review what you collect, what you keep and what you send as three separate decisions.

Capture only what the job needs
Before taking the photo, look at the whole frame. Choose a position that excludes unrelated documents, personal items and people when possible. A more deliberate frame can reduce the need for later masking while still preserving useful equipment context.
The same principle applies to text and audio. Avoid adding passwords or unrelated personal details to a technical finding. Background conversations in an audio note may contain information that has nothing to do with the observation you intended to record.
Review masks in the actual exported document
Use an opaque mask to cover an area that should not appear in the shared image. An arrow, circle or translucent highlight is an annotation, not a reliable concealment method. Check the result in the PDF preview and inspect the exported file before sending it.
Review every image and field, not only the masked photo. The same name or code can appear elsewhere in the record. TechSnap preserves original photos, so masking an image for a report does not mean that the original has been removed from local storage or from a backup.
Understand local storage and the service connections
TechSnap stores records and inspection media encrypted on the device and does not automatically upload them to an AI service or a team server. Free uses Google's advertising services, and purchases use Google Play. Local storage of inspection media does not mean that the Free app makes no network requests.
Use the app's privacy choices and read the current privacy policy for the relevant services and processing. Customer folders in Pro organise work; they are not separate user accounts or permissions for people sharing a phone. Device access still needs to be protected through your organisation's normal arrangements.
Share the needed document, and protect the recoverable copy
Check the recipient and attachment immediately before sending. A customer who needs one report usually does not need the full editable backup containing work for other customers. Once a PDF is exported, it is outside the app's encrypted record storage and should be handled according to the destination and your organisation's process.
Keep backups password-protected and test recovery with sample data. Record how the password will be recovered without exposing it alongside an unprotected copy. This checklist is a practical documentation workflow, not a complete assessment of every privacy obligation that may apply to a particular organisation.
Before you finish
- The record contains only information relevant to the work.
- Masks are opaque and checked in the exported result.
- Originals, PDFs and full backups are treated as different copies.
- The recipient and the extent of the shared information are correct.
