One technician, many customers: organising records by company and household
A technician may visit a factory in the morning, a small business after lunch and a household in the afternoon. Organising that work starts with choosing whose equipment you are documenting before creating the next record.

Start with the customer, then the equipment
Create a clear customer entry for each business or household you serve. Use a name that is recognisable on a phone screen, and add the address and contact details needed for the work. For businesses with several locations, include enough location information to distinguish the visits.
Before taking photos or opening a new record, check the selected customer and equipment. This small habit prevents a correct observation from being filed in the wrong place. When several customers use an equipment name such as 'RH-01', the customer context is essential.
Keep the customer and report issuer separate
The customer identifies who the work is for. The issuing company identifies who prepared the report. These should remain separate even if one technician regularly works for several organisations.
Check both sets of details in the PDF preview. Your company name, contact and logo should not be overwritten by a customer's details. Likewise, the recipient should not have to infer the inspected workplace from your business address.
Move existing work deliberately
When introducing customer folders, review older records that were created without a customer. Assign them only after identifying the workplace and equipment. If the evidence is ambiguous, keep the uncertainty visible instead of guessing which customer owns the work.
Moving equipment can affect its history. In TechSnap, moving equipment to another customer moves its linked records too, and report approvals are cleared for review. Read the move explanation before saving and review the resulting reports before using them again.
Treat folders as organisation, not access control
A customer folder helps you find the right records. It is not a separate user account and does not create a permissions boundary for people using the same device. Protect access to the phone and choose export recipients carefully.
Customer data also appears in backups and exported documents. Keep the backup protected and avoid sharing a whole backup when the customer only needs one PDF. In TechSnap, deleting a customer folder keeps the equipment and records in Unassigned, with historical report details retained; it is not a way to erase all customer data.
Before you finish
- The selected company or household is correct.
- Equipment names are meaningful within that customer.
- Customer and issuer details are checked separately.
- Folder moves, exports and backups receive an explicit review.
